We are looking for a new Front Office Specialist fluent in English to join our Customer Care Team.
Reporting to the Head of Customer Care Team, the candidate will be responsible for the following activities:
Reception (it requires in-office presence, save if differently advised by Amilon pursuant to Covid19 prevention regulations)
Coordination of the technicians involved in facility management activities (such as electricians, locksmiths, painters, cleaning staff, etc.)
Take phone calls from clients, vendors, consumers and anyone calling the corporate central phone number
Supporting administrative and secretarial tasks, which may include checking supplier invoices, data entry on client/supplier’s platforms, retrieving documents to support sales to respond to tenders or to support other Amilon functions, etc.
Archiving contracts and other documents, digitally and physically
Support employees to arrange meetings, prepare meeting rooms, procure refreshments, etc.
Support employees to arrange their travel (e.g. buy tickets, book hotels, etc.)
English mother tongue or C1/C2 level
Italian mother tongue or C1/C2 level
Accuracy and self-organization
Proactivity and problem solving
In-depth knowledge of MS Office, mainly Excel
Excellent relational skills
Ability to manage multiple activities at the same time
Desirable extra skills:
Ability to adapt and deal with changes
